Procedures
Procedure for Hourly Room Rental
- Check iLEAP Rental Calendars for room availability.
- The Rental Agreement and Rental Application are both available online.
- Please submit your application online.
- Reservation must be 3 hours minimum.
- After successful submission of the online Rental Application, an iLEAP staff member will contact you within two (2) business days.
- IMPORTANT: Please note that space is only reserved once the online Rental Application has been submitted and approved by an iLEAP representative AND the reservation fee has been processed.
- Please contact iLEAP at space@ileap.org with specific questions, information on room availability, and for appointments to view space.
- All iLEAP rentals should be reserved and scheduled at least 14 days in advance.
RESERVATIONS/PAYMENT
- If use of the space is granted, you will be sent one invoice via email for the total rental cost. You must pay the full amount in order to confirm reservation.
- Invoice will be sent via Google Checkout, and should be paid with a credit card through that online bill pay system. Payments may also be made via check. Please make check payable to iLEAP. A $25.00 fee will be charged for all returned checks.
- Space is reserved when the online rental application has been submitted and approved by an iLEAP representative and the reservation fee has been confirmed. For booking multiple reservations extending beyond a month, the first month's payment in full is required for reservation of subsequent simultaneous reservations.
- Full payment for use of the space is due at least 14 days in advance of rental period.
- For membership users, subsequent month payments are due by the first of the month. A late fee of $15.00 will be charged if payment is not received by the tenth of the month. Please contact iLEAP staff directly at space@ileap.org to schedule multiple recurring events.
CANCELLATIONS/REFUNDS
- Notice of cancellation must be given in writing at least two weeks (14 days) in advance of the date reserved.
- With proper notice of cancellation, the reservation fee will be refunded with the exception of a $25 dollar processing fee.
- If a cancellation is made within two weeks of the reservation date, 50% of the rental charge will be refunded.
- Please allow two weeks for refund processing.
Policies
Rental Periods
- Rooms are rented in one-hour increments, with a minimum of 3 hours. All portions of an hour are regarded as a full hour. Rental must include all time needed for preparation, set up and clean up. Time for set up and take down must be included in the rental time period.
- Renters must clear the room of all belongings, trash, extra furniture and people so the room is available within half an hour for the next renters.
Membership
Occasional-Use Members will be charged an annual membership fee with their first rental as a member. Membership lasts until the calendar day before their first rental the following calendar year. Members will be notified before membership is renewed.
iLEAP Value Members do not need to pay an annual membership fee. iLEAP Value Members must have an event each calendar month beginning the month of your first rental as a member. Each month you will be billed for the minimum monthly rental fee, $189 for businesses or $93 for non-profits, which will be fully applied to any rentals you hold that month. Monthly minimum payments do not roll-over to following months. You will be billed within two weeks of the month following the month you did not hold an event. Membership lasts for 6 months from the date you sign up, with no need to renew. After six months you may cancel your membership with no fee. If you cancel your iLEAP Value membership before six months from your sign up date, you must pay a $100 fee.
Alcohol Service
Alcohol may be served during rental period, but only with the written permission of iLEAP. Users must obtain a Washington State liquor license prior to serving alcohol and the License must be prominently displayed at all times during the event. Alcohol may only be provided to persons presenting ID verifying legal drinking age status. Failure to meet these requirements will result in a $100 penalty and immediate cessation of alcohol service and consumption.
a. Insurance Required. Renter shall procure and maintain, at its own cost and expense, commercial general liability insurance that covers all claims for damage to property (including Owner’s property) and all bodily injury, including death and personal injury, which may arise from the use of the iLEAP facility by Renter, including Host Liquor Liability if alcoholic beverages are served at no charge, with minimum limits of $1,000,000 per each occurrence. If alcoholic beverages are to be sold during the Event, $2,000,000 each common cause Liquor Liability is required.
b. Evidence of Insurance. Concurrently with the execution of this agreement, Renter may be asked to provide a certificate of insurance with iLEAP: The Center for Critical Service named as additional insured for primary and non-contributory limits. The mere statement of additional insured on the certificate is not acceptable: a copy of the actual additional insured policy or endorsement wording must be attached to the certificate. Surplus line certificates must be issued and stamped by a Washington State licensed surplus line broker. Please note that "sole negligence" wording is unacceptable. Policies issued through WedSafe.com, or using Markel American Insurance Company are not acceptable.
Kitchen Use
The iLEAP kitchen is available for use during the rental period. Use of the kitchen includes access to a full size refrigerator and freezer, electric stove and oven, pots & pans, cutlary, serving dishes, coffee maker, water boiler, cupboard storage, food preparation space, and kitchen sink. There is a fee of $15/hr ($10/hr for nonprofits) to use the kitchen.
This fee is non-negotiable and the hourly fee is coupled with the duration of the entire rental period.
For example, if you are renting a space for 2 hours and would like access to the kitchen, you will also be charged for use of the kitchen for those full two hours, irrespective if the kitchen was used during the entire time. However, we put a maximum equivalent of 4 hours use on the cost of using the kitchen. For example, if you are renting a space for 8 hours and using the kitchen throughout that entire time, you will only be charged for 4 hours of kitchen use.
NONPROFIT STATUS
Nonprofit groups must be able to provide documentation of their nonprofit status upon request in order to receive the nonprofit rate. This may be in the form of a PDF copy email to space@iLEAP.org.
ROOM USE/FURNITURE
Chairs:
- Forty (40) matching rolling chairs
- Ten (10) matching rolling chairs
- Twelve (12) wooden stationary chairs of various design.
Tables:
- Nine (9) 30” x 72” wood tables, wheeled
- One (1) 169” x 35” wood table, stationary
- One (1) 48” x 72” wood table, stationary
- One (1) 24” x 72” wood credenza
- All rooms are rented "as is". Furniture should remain in the iLEAP office space but may be arranged to your preference. Users are responsible for setting up, cleaning, and returning any additional furniture brought into the room. iLEAP staff is available to orient you to the space and to answer questions and to assist with projector and A/V set up and operation.
- A $15.00 fee will charged if iLEAP staff is required to remove furniture you have not returned to its proper storage.
- Any damages to the furniture or physical space during the rental period will result in the assessment and incurrence of additional charges to the renter.
- Do not use tape or tacks on the floors or walls.
PARKING
- Parking space in the Good Shepherd Center parking lot is free but limited and on a first-come, first-serve basis. User and program participants should come to events early to find parking in the parking lot, but there is also plenty of street parking that is also free.
- Users and program participants are encouraged to use alternative transportation means to reach the Good Shepherd Center. Please inform your participants of alternative means of transportation. Check Google Maps or the Seattle Metro website for bus scheduling and routing information. Try car pooling. Ride your bike.
- Please have users and program participants respect the on-street parking and use by neighborhood residents.
Building Policies
- Smoking is prohibited on the property. Burning of candles, incense, or other materials is prohibited.
- iLEAP is not responsible for items lost or stolen from the Center premises and grounds. Check with iLEAP staff for information about Lost & Found items.
- Users shall be responsible for compliance with all rules and regulations governing use of the iLEAP space and Good Shepherd Center, including any and all damage to the building, equipment, or grounds, and agrees to clean up the premises after each use and to leave the premises in good order and repair.
- iLEAP and Good Shepherd Center shall not be responsible for injury or damage to persons or property occurring during, or arising out of occupancy and use of the building or grounds by the User. The User agrees to hold iLEAP and Good Shepherd Center harmless from liability on account of any injury or damage arising out of such use.
- Children must be supervised by parent or a responsible adult at all times. Children can not be unaccompanied in the building or on the grounds at any time.
- Users shall not use the premises in any way that will unreasonably annoy occupants of adjacent properties or other Tenants in the Good Shepherd Center.
- In order to maintain building security and public safety the User agrees to follow directions of the Good Shepherd Center security staff person on duty.
- Rental space is not available for religious groups, political groups, or for personal use including weddings.
